Novin Osteopathy Clinic Policies and Guidelines
- Appointment Scheduling and Cancellations:
- Appointment Scheduling: Patients are encouraged to schedule appointments in advance to secure their preferred time slots.
- Cancellation Policy: We require a minimum of 24 hours' notice for cancellations or rescheduling. Failure to provide adequate notice will result in a cancellation fee.
- No-Show Policy: A cancellation fee will be charged if a patient does not attend their scheduled appointment without prior notice, or the session may be deducted from their package.
- Refunds for Prepaid Services (with Cancellation Fee):
- While session packages are non-refundable, in exceptional cases, a refund may be processed under the following conditions:
- A cancellation fee of $50 or 10% of the remaining balance will be deducted.
- Any used sessions will be charged at the full session rate.
- The remaining balance will be refunded after deducting the cancellation fee and charges for used sessions.
- Late Arrivals:
- Patients who arrive late for their appointments may receive a shortened session to accommodate the clinic’s schedule. Full fees will still apply.
- Payment Policy:
- Payment Terms: All payments for services are due at the time of the appointment unless a package has been purchased in advance.
- Methods of Payment: We accept cash, debit, credit, and direct billing (if applicable). Any other payment options must be discussed in advance.
- Outstanding Balances: Services cannot be provided to patients with outstanding balances from previous appointments until payment is made.
- Direct Billing and Insurance Claims:
- Insurance Coverage: Patients are responsible for checking their insurance coverage before treatment. Direct billing is available for most insurance companies, but any unpaid amounts are the patient's responsibility.
- Non-Covered Services: If a treatment or service is not covered by insurance, the patient is responsible for full payment at the time of service.
- Privacy and Confidentiality:
- Patient Confidentiality: All patient information, including treatment details, is kept strictly confidential by privacy laws.
- Consent for Treatment: All patients are required to sign a consent form before beginning treatment, acknowledging the risks, benefits, and their understanding of the process.
- Health and Safety:
- Infection Control: Our clinic follows stringent hygiene and sanitation practices. Patients who are feeling unwell or displaying symptoms of illness are asked to reschedule their appointments.
- COVID-19 Protocols (if applicable): Our clinic adheres to all current COVID-19 safety guidelines. Patients must follow mask-wearing, hand hygiene, and distancing policies as outlined.
- Dress Code for Treatment:
- Patients are advised to wear comfortable, loose-fitting clothing that allows for easy access to the treatment areas. Gowns or sheets will be provided as necessary.
- Treatment Plans and Progress:
- Customized Treatment Plans: Every patient will receive an individualized treatment plan based on their assessment. Regular progress reviews will be conducted to ensure optimal outcomes.
- Patient Responsibility: Patients are expected to follow the advice given by the osteopath, including exercises or lifestyle adjustments, to achieve the best results.
- Refunds for Prepaid Services:
- While session packages are non-refundable, any prepaid services that remain unused after a change in medical status (e.g., pregnancy, injury) may be credited towards future sessions or services.
- Special Requests and Accommodations:
- Patients are encouraged to inform the clinic of any special requests or accommodations they may need during their treatment. We strive to create a comfortable and safe environment for all patients.
