Novin Osteopathy Clinic Policies and Guidelines
1. Appointment Scheduling, Cancellations, and No-Shows
- Appointment Scheduling: Patients are encouraged to book appointments in advance to secure their preferred time slots.
- Cancellation & Rescheduling Policy: A minimum of 24 hours’ notice is required to cancel or reschedule an appointment.
- Late Cancellations / No-Shows:
- Appointments cancelled with less than 24 hours’ notice or missed without notice will incur a $50 cancellation fee, or
- One session will be deducted from the patient’s prepaid package, if applicable.
2. Late Arrivals
- Patients arriving late may receive a shortened session to respect the clinic schedule.
- Full treatment fees apply, regardless of session length.
3. Payment Policy
- Payment Terms: Payment is due at the time of the appointment, unless a prepaid package has been purchased.
- Accepted Methods: Cash, debit, credit card, and direct payment. Any alternative payment methods must be discussed in advance.
- Outstanding Balances: The clinic reserves the right to withhold services until any outstanding balance is fully paid.
4. Prepaid Packages, Refunds, and Validity
- Non-Refundable Packages: Prepaid treatment packages are non-refundable.
- Exceptional Refund Cases:
- A $50 cancellation fee or 10% of the remaining balance (whichever is greater) will be deducted.
- Any used sessions will be charged at the full single-session rate.
- The remaining balance will be refunded after all deductions.
- Package Validity:
- Any remaining sessions in prepaid packages are valid for one (1) year from the date of purchase.
- Sessions not used within this period will expire and are not transferable or refundable.
5. Insurance and Direct Billing
- Insurance Responsibility: Patients are responsible for verifying their insurance coverage prior to treatment.
- Direct Billing: Direct billing is not available.
- Non-Covered Services: Any services not covered by insurance must be paid in full at the time of the appointment.
6. Privacy and Confidentiality
- Confidentiality: All patient information is kept strictly confidential in accordance with applicable privacy laws.
- Consent for Treatment: Patients must sign an informed consent form before treatment begins.
7. Health and Safety
- Infection Control: The clinic maintains strict hygiene and sanitation standards.
- COVID-19 or Public Health Protocols: All current public health guidelines must be followed.
8. Dress Code
- Patients should wear comfortable, loose-fitting clothing. Gowns or sheets will be provided when necessary.
9. Treatment Plans and Patient Responsibility
- Individualized Care: Treatment plans are tailored to each patient.
- Patient Participation: Cooperation with exercises and recommendations is essential.
10. Special Requests and Accommodations
- Patients are encouraged to inform the clinic of any special needs or accommodation requests.
